If you are planning an outdoor event here between May and September, the heat is not a detail. It is the thing that decides whether people stay.

We work a lot of these. [Tenant appreciation days and company picnics](/corporate-events), grand openings, festivals, anything where people are standing outside in July because somebody scheduled it in February. Here is what we have learned about keeping a crowd comfortable, whether or not you hire us to do it.

## People leave earlier than you think

Nobody announces that they are leaving because they are hot. They just drift. Twenty minutes into standing on asphalt, the crowd thins, and the event you planned for two hours effectively ends at seventy minutes. The speeches happen to a smaller group. The vendor booths you paid for get less traffic.

Cold drinks do not fix the temperature, but they reset the clock. Somebody who was about to head to their car goes and gets a lemonade instead, and now they are in a conversation, and now they are staying. It is a small intervention with an outsized effect on how long people stay in the space.

## Water alone does not do it

Every event has water. Water is necessary and nobody is excited about it. What gets someone to walk across a parking lot in the heat is something that sounds good, and in this weather what sounds good is cold and tart.

That is most of why lemonade works at these events specifically. It reads as refreshing in a way that soda does not when it is genuinely hot out. Soda is heavy. People take two sips and set the can down. We watch it happen at every event that has both.

## Where you put the stand matters more in summer

Shade, if you have any. Near the entrance if you do not, because that first cold drink is what turns arriving into staying.

The mistake we see most is putting drinks at the far end from where people gather, on the theory that it draws them through the space. In mild weather that works. At a hundred degrees it just means fewer people get a drink, and the ones who do are irritated by the walk.

## Plan for more than you think

Consumption in real heat runs well above what people budget for. A crowd that would go through one drink each at seventy five degrees will go through two or three at a hundred, and the second and third are the ones that actually keep people around.

When we quote a hot weather event, we size for the temperature, not just the head count. Running out an hour in is worse than not having it, because now everyone knows there was lemonade and there is not anymore.

## The stand is also a gathering point

This is the part hosts do not plan for and then notice afterward. A staffed beverage stand becomes somewhere people stand and talk. At a tenant event or a company picnic, where the whole purpose is people mingling who do not normally mingle, that is the actual product. The drink is the excuse.

You can see it from across a lot. There is a cluster around the stand, and it is not a line, it is a conversation.
