A grand opening is the one event where a vendor problem is genuinely expensive. You have press, you have a landlord, you have people you personally invited, and you have exactly one first impression to work with. There is no rescheduling and no quietly fixing it later.

We work a lot of these. Here is what we would confirm with any vendor, including us, before the day.

## Get an arrival time, not a window

A vendor who says morning is telling you they will decide later. Ask for a specific arrival time and a specific setup completion time, and make the second one at least thirty minutes before your first guest.

That buffer is the whole point. Things go wrong in setup, and thirty minutes is the difference between a fix nobody sees and a problem happening in front of your guests.

## Ask what they need from you

The answer should be short and you should know it in advance. Power, water, square footage, access. If a vendor cannot tell you what they need until they arrive, that is a vendor who has not thought about your specific site.

We tell people up front, because turning up and asking for an outlet nobody planned for is how you end up running a cord across a walkway on the day you have photographers.

## Confirm who is actually coming

Not the company, the crew. How many people, and are they staffing it for your expected volume or is it one person who will be overwhelmed at noon.

For a grand opening in particular, the people behind the table are part of the impression. They are talking to your guests. Ask whether the staff are employees who do this regularly or day hires meeting each other in the parking lot.

## Ask what happens if it is a hundred degrees

Or if it rains. Outdoor grand openings in Texas get both, sometimes in the same week, and every vendor should have an answer ready.

The answer does not have to be elaborate. It has to exist. A vendor who has worked real events knows their weather plan without thinking about it.

## Confirm cleanup and departure

Who breaks down, when, and what is left behind. This is the most commonly skipped question and it produces the most common bad surprise, which is a pile of equipment and trash at the end of the day you least want to deal with it.

Get it in writing that the space is left clear.

## Overbook the drinks, not the food

If you are guessing, guess high on beverages. Food scales down gracefully at an event like this, because people eat what is there and stop. Drinks do not work that way, especially outdoors. Running out is visible, it happens at the busiest moment, and it is what people remember.

## A drink stand does something specific for an opening

Worth saying, since it is the reason most of our grand opening clients book one.

A [staffed beverage stand](/corporate-events) pulls people in off the sidewalk and the parking lot, and then it keeps them on site long enough to actually look at your business. That second part is the whole point of the day. Somebody who came for the free drink and stayed eleven minutes has now walked your floor, read your signage, and met somebody who works there.

Put it where it is visible from outside your door. It is one of the few things at an opening that recruits people who were not already coming in.

## The underlying question

Everything above is one question in different forms. Has this vendor done this before, and will they be reliable on a day that does not allow for a second try.
